AP IMPLEMENTATION AND TRANSITION

Transition Accounts Payable Without Losing Operating Control

An accounts payable transition should protect invoice continuity, supplier communication and payment deadlines. ARDEM plans the handover alongside the operating model. The scope, systems and readiness of both teams determine the sequence.

This guide covers AP and its accounting handoffs. For other functions, review how an outsourcing engagement works with ARDEM.

1. Define the Result and the First Scope

Start with the problem your finance team needs to solve. Define the entities, invoice channels, recurring volumes and important deadlines. Identify the work ARDEM will manage and the decisions your team will retain.

Reconcile the opening backlog before transferring responsibility. An invoice captured, a record accepted by the ERP and a payment confirmed are different milestones. Agree which outputs define completion.

2. Prepare the People, Knowledge and Access

ARDEM’s operations leads prepare the team and document the workflow. Your finance and IT contacts provide the policies, reference data and authorized access needed for the agreed scope.

Name the people who resolve accounting questions and accept test results. Plan their involvement during implementation. This makes the required client effort visible instead of assuming the handover needs no internal time.

3. Build Automation Into the Workflow

Where appropriate, AI-assisted capture can identify invoice types and extract fields. Configured checks can compare those fields with reference data and business rules. Workflow automation can route items, track status and coordinate approved system handoffs.

Specialists review uncertain information and resolve exceptions. Missing receipts, disputed charges and payment approvals require the right evidence and authority. Automation does not replace those decisions.

The solution may run in your existing ERP, use ARDEM technology or connect the two. We evaluate the approach against representative invoices and the output your systems must accept.

Example: A Record Is Rejected by the ERP

A validation check flags an invalid entity code. The item stays open while the operations team investigates the source or mapping. After an authorized correction, the record is resubmitted and acceptance is confirmed. Sending a file is not treated as proof of completion.

4. Test Ordinary Work and Exceptions

Use representative PO and non-PO invoices. Include duplicates, missing receipts, incorrect entity codes and approval delays. Test rejected output and an unavailable destination.

Document the expected result, reviewer and closure evidence for each scenario. Check how failed items return to the workflow without being lost or processed twice. Resolve launch-blocking issues before production.

5. Agree the Conditions for Launch

Confirm access, training, backup coverage and escalation contacts. Decide whether the work needs a phased transfer, parallel processing or a coordinated handover. Protect the payment and close activities that must continue.

Agree who accepts readiness and what happens if a dependency fails. Timing follows the actual requirements. There is no universal number of days that fits every AP transition.

6. Stabilize Delivery and Improve the Process

Review accepted output, turnaround, quality and aged exceptions against the agreed definitions. ARDEM manages the operating follow-through and brings decisions to the designated client owners.

As patterns emerge, investigate recurring causes of delay or rework. Test proposed changes before expanding automation or scope. Measure the effect on the operation, rather than reporting only how many tasks were automated.

Confirm the Data and Control Requirements

Document processing locations, access roles, retention and permitted uses of AI. Agree the handling of client data, including whether it may be used for model training. Establish incident communication and access-removal responsibilities.

Confirm which assurance documents apply to the proposed service and the periods they cover. Distinguish cloud-provider assurance from assurance over the managed operation. Review the available evidence with your security and procurement teams.

See a Transition in Practice

In a published Coupa engagement across 15+ entities, ARDEM combined knowledge capture with continued invoice processing and exception management. The case illustrates AP continuity during a systems change, not a guaranteed outcome for another transition.

Discuss Your Starting Point

Share the operating issue, current systems and deadline with a senior ARDEM consultant. Approximate volumes and known dependencies are enough to begin. You do not need a finished process specification.
