MANAGED ESG UTILITY DATA WORKFLOW CASE STUDY

An ESG data management provider depended on normalized utility bill data across approximately 50,000 annual bills and 80,000 meters. With 700+ bill formats and peak weeks above 3,000 bills, ARDEM created a managed workflow combining platform-based extraction, format normalization, commodity-specific review, validation, human exception handling, and flexible capacity.

Overview

An ESG data management provider depended on timely, normalized utility bill data to support downstream energy, sustainability, and client reporting workflows. The recurring process covered approximately 50,000 bills and 80,000 meters annually, making data readiness a core operating requirement rather than a routine document task.

The Challenge

The workflow was difficult to control because daily volumes fluctuated, peak weeks exceeded 3,000 bills, and the portfolio included more than 700 utility bill formats. Differences across electricity, water, and other commodities also required careful review of units, demand, cost distributions, and terminology before the data could move into analysis.

The client faced a utility data readiness and workflow control problem. Volume changed from day to day, peak periods required rapid capacity adjustments, and non-uniform bill formats limited the effectiveness of software-only extraction.

The ARDEM Solution

ARDEM created a managed utility data workflow that combined platform-based extraction, format normalization, energy-domain review, multiple validations, quality checks, exception handling, and flexible peak capacity. The operating model kept the client out of backlog for more than four years while delivering completed data as soon as it was ready for downstream use.

ARDEM established a scalable processing lane that combined its proprietary utility platform with trained human review. The workflow controlled intake, extraction, normalization, validation, exceptions, peak capacity, and delivery so the client could receive usable data without managing the daily production process.

Why ARDEM

Incoming bills were organized against changing daily and weekly demand.

ARDEM's utility platform captured recurring fields at scale.

Provider-specific layouts were converted into a consistent structure.

Electricity, water, units, demand, and cost fields received domain-specific review.

Multiple checks and trained human review handled unusual records.

Capacity scaled for weeks above 3,000 bills while maintaining the same quality model.

The Results

ARDEM supported approximately 50,000 utility bills and 80,000 meters annually, normalized more than 700 bill formats, absorbed peak weeks above 3,000 bills, and kept the client out of processing backlog for more than four years. The managed workflow also released completed data as soon as it was ready, helping reduce delay between bill processing and downstream ESG analysis while lowering the client’s internal extraction-management burden.

The Annual Bill Volume Was Only the Visible Problem

The Larger Risk Was Letting Format Variation and Peak Demand Delay ESG Data Readiness

The client did not only need bill extraction. It needed normalized, usable data across 700+ provider and commodity formats before downstream analysis could begin.

Volume could change sharply, and peak weeks above 3,000 bills created short-term capacity pressure while unusual layouts and commodity-specific fields still required experienced review.

Adding processors or relying on software alone would not create consistent normalization, interpretation, validation, exception ownership, and flexible capacity.

ARDEM created a managed ESG utility data workflow around queue control, platform extraction, 700+ format normalization, commodity-specific review, validation, human-in-the-loop exceptions, flexible peak capacity, and delivery-ready output. The client remained out of backlog for more than four years.
