Accounts payable continuity during a nonprofit finance transition
Continuity when team members changed
“When you outsource an important function such as accounts payable, you want to know that the relationship and the knowledge of your account are bigger than any one individual. ARDEM demonstrated that they could manage changes within their team while maintaining continuity for ours.”

Our organization partnered with ARDEM for approximately one year to provide accounts payable support during an important period of transition for our Finance team. Throughout the engagement, Katya Coburn and Sonu Sharma were professional, dependable, responsive, and committed to ensuring our account was well managed.
One of the things we valued most about the partnership was their flexibility. Over the course of the year, our needs, processes, systems, and priorities evolved significantly. Katya and Sonu consistently adjusted alongside us, responded to changing expectations, and helped maintain continuity while we worked toward a more permanent internal AP structure.
We also maintained a regular cadence of weekly meetings throughout the engagement. These meetings gave us an opportunity to review account activity and statistics, discuss issues, and stay aligned on priorities. This consistent communication helped us address items as they arose and provided visibility into how the account was being managed.
Continuity Through Staffing Changes
Another strength of our experience with ARDEM was how they managed transitions within their own team. During our engagement, Ramya transitioned off our account and Sahil was brought on to provide support. Those changes were managed internally by ARDEM with no meaningful interruption to our day-to-day operations.
From our perspective, it remained business as usual. Knowledge was transferred, responsibilities continued to be managed, and our internal Finance team did not have to absorb the impact of ARDEM’s staffing change.
Although our time working with Sahil was relatively brief, his transition onto the account was seamless. This was particularly valuable to us because continuity is critical when outsourcing a function such as accounts payable. An organization’s ability to manage staffing changes, preserve institutional knowledge, and maintain service levels without disruption is just as important as the performance of the individual team members assigned to the account.
Supporting Our Technology Transition
ARDEM’s support was also valuable as we prepared for and transitioned to Ramp. Their team brought knowledge of the platform and worked alongside us throughout the process, sharing what they knew, answering questions, and adapting their support as our workflows changed.
Rather than approaching the engagement as simply completing assigned transactions, they were willing to partner with our team as our AP environment evolved. That collaboration helped provide continuity while we implemented new technology and prepared to transition the function internally.
What We Valued as a Nonprofit
For a nonprofit considering outsourced finance or accounts payable support, I believe that type of partnership is especially important. Nonprofit finance teams often balance limited resources, changing organizational priorities, internal controls, deadlines, technology changes, and a responsibility to be good stewards of organizational resources.
Our experience with ARDEM demonstrated several qualities that I believe are important when selecting an outsourced AP partner:
Professionalism and responsiveness — consistent communication, follow-through, and willingness to assist. Flexibility — the ability to adapt as our priorities, processes, and expectations changed. Operational continuity — internal staffing transitions were managed without disruption to our account. Dependability — a consistent commitment to ensuring our AP responsibilities continued to be managed. Technology adaptability — knowledge of Ramp and a willingness to work alongside our team as we transitioned systems and processes. Knowledge transfer and collaboration — sharing information and experience rather than operating in a silo. Partnership mindset — working alongside our internal Finance team and adjusting as the needs of the organization evolved.
After working with ARDEM for approximately a year, I am grateful for the support Katya, Sonu, Ramya, Sahil, and the broader team provided during an important period of transition for our organization. Katya and Sonu demonstrated professionalism, strong work ethic, flexibility, and a genuine commitment to ensuring our account was well supported.
For another nonprofit finance leader considering ARDEM, I would describe our experience as one in which the team was able to provide stability while we were changing—both as our internal needs evolved and as ARDEM experienced changes within its own team. That ability to maintain continuity while adapting alongside the client was one of the most valuable aspects of the engagement.
I would be happy to serve as a reference and speak directly with other nonprofit organizations considering ARDEM’s services about our experience.
