Logistics Billing Specialist

The Billing Specialist is responsible for processing bills efficiently and effectively in a fast-paced, customer focused environment.  This position requires quality service to processes bills, attention to discrepancies of all bills, and auditing to ensure all requirements are met, leading to smooth, effective, and efficient shipment of goods. This role supports ARDEM’s ongoing growth through quality service, process improvements and collaboration.

What is Logistics Outsourcing?

Logistics operations deal with shipping and delivery of the right goods to the right place at the right time. In the entire life cycle of a shipment, several crucial documents are used to effectively track a shipment, confirm delivery and calculate the charges applicableThese documents are crucial to successfully complete a delivery cycle and exact the due payment or remuneration for the same.  

What is a Bill of Lading (BOL)?

bill of lading or BOL is a legal document that is issued by a carrier to a shipper and specifies the type, quantity and destination of the products/goods that have to be delivered 

bill of lading also serves as a shipment receipt when the carrier delivers the goods at the specified destination. This document must accompany the shipped products, no matter the form of transportation, and must be signed by an authorized representative from the carrier, shipper and receiver. 

A Bill of Lading usually includes: 

  • Name and details of the shipping company  
  • Shipping bill number and date 
  • Name and address of the shipper as well as the receiver 
  • Order Number or a similar reference number  
  • Any special instructions for cargo, i.e., fragile, handle with care, etc.  
  • Details of the products/goods being carried, size, quantity, weight, etc.  
  • Packaging details and freight classification.  

Bill of Lading processing requires accurate data and fast cycle times. Any errors in data entry can result in additional charges and delayed delivery of goods. Many shipments can be received overseas making Bill of Lading very important for customs and imports. 

How It Works: 

  • BOL Images are uploaded 
  • Different Data Points and M-codes are entered  
  • Data is re-checked and verified 
  • Any Errors or Exceptions are Flagged and Resolved 
  • The high-qualityaccurate output is shared with the client.  

What are M-Codes?

M-Codes also known as Memo Codes are like a shortcut used to enter key messages in an entry process. Once these M-codes are entered into the system and the charges applicable to each respective is applied automatically.  This, in turn, automates and improves the rating process of these bills and also helps save time during the billing process as instead of typing out the entire information every time, only a 5–6 digit code must be entered accurately and the rest is uploaded automatically.      

The BOLs that we process are rated (freight calculation) by an automated system, so if we miss any particular M-code or enter it incorrectly, the rating for that BOL will be miscalculated, so it is crucial that we enter this data with great care and accuracy.
