Secure concurrent coverage
High-volume LTL freight billing could not pause when office-based processing was disrupted. Bills of lading, shipment-direction data, routing support, vendor payments, receivables visibility, and daily logistics billing continuity depended on timely and accurate processing.
The Challenge
The client faced uneven daily and hourly volume, freight-code complexity, critical-field accuracy requirements, and the need to maintain secure client-system access outside the normal office environment.
Without a controlled operating model, unkeyed bills of lading could delay shipment directions and routing, freight bills could roll into backlog, and AP and AR teams could lose billing continuity and operating visibility.
The ARDEM Solution
ARDEM created a secure distributed workflow using ARDEM Workspace, ARDEM Cloud, role-based access, multiple processing nodes, overlapping waves, intraday workload planning, training and certification, layered QA, production reporting, and recurring governance.
The model supported approximately 137 concurrent users, approximately 85,000 bills per week, and a documented peak day of 20,136 bills cleared without backlog rollover.

The Results
ARDEM supported approximately 85,000 freight bills per week and cleared a documented peak day of 20,136 bills without backlog rollover. The distributed model provided approximately 137 concurrent-user coverage, reached P95 throughput of approximately 2,642 bills per hour, and maintained approximately 98.6% manual weekly accuracy against a 98% target while giving stakeholders recurring visibility into production, QA, blockers, and operating risk.

The Peak-Day Volume Was Only the Visible Problem
The Larger Risk Was Losing Logistics Billing Continuity During Disruption
The client was not managing a simple daily data-entry queue. Freight bill volume moved unevenly by day and hour, while every transaction depended on trained handling of BOL data, freight codes, and critical shipment fields.
Office disruption created a second constraint. The workflow had to move into a secure distributed environment without weakening access control, quality, or production visibility.
Additional processors alone would not have created intraday load balancing, certified execution, layered QA, secure access, or a governance cadence for preventing backlog rollover.
ARDEM created a secure, distributed, quality-controlled LTL freight bill workflow around multi-node coverage, intraday throughput planning, trained BOL processing, freight-code validation, layered QA, production reporting, and recurring governance.
Secure Distributed Access
Used role-based access, SSO, VPN, MFA, and no local data retention.
2
Multi-Node Coverage
Deployed overlapping processing waves across secure nodes.
3
Queue and Capacity Control
Balanced daily and hourly work to absorb volume spikes.
4
BOL and Invoice Processing
Keyed freight bills, shipment data, and critical billing fields.
5
Freight Code Validation
Applied trained handling of terminology, codes, and critical fields.
6
Layered QA and Governance
Used certification, QC, reporting, huddles, and steering reviews.
