Overview
A multi-location fuel, convenience, car wash, lube, and gaming operator had already outsourced utility administration but still experienced missed payments, shutoff notices, unresolved account issues, and more than $80K in historical late fees. The client needed a managed control layer around when bills should arrive, whether accounts were payment-ready, whether payment occurred as expected, and what exceptions Finance and Operations needed to see.
The Challenge
Bills and notices arrived through utility portals, email, and paper mail, while payment methods varied by account and responsibility remained split between the incumbent provider and internal teams.
Without expected-bill tracking and independent account-status validation, an account could appear complete while still carrying an unpaid balance or unresolved shutoff, leak, or other utility notice.
The ARDEM Solution
ARDEM created a managed utility operating model around multi-channel bill retrieval, AI-assisted data capture with human validation, expected-bill and due-date controls, supported payment administration, provider follow-up, notice escalation, and month-end accrual reporting.
The client retained funding, downstream accounting, and business decisions while ARDEM owned the recurring operational controls and extended the standardized workflow across all three client companies.

The Results
ARDEM replaced a fragmented incumbent utility process with a governed operating model across approximately 1,300 monthly bills and three client companies. The project manager reports no missed utility payments since ARDEM took over. During transition, ARDEM independently reviewed inherited account status and identified balances that remained outstanding, then standardized expected-bill tracking, payment administration, exception and provider follow-up, utility-notice escalation, and month-end accrual visibility. As the workflow stabilized, routine client oversight decreased and recurring status meetings were discontinued in favor of operating updates and reporting.

The $80K+ in Late Fees Was Only the Visible Problem
The Larger Risk Was Outsourcing Transactions Without Outsourcing Utility Workflow Ownership
The client already had an outside utility-management provider, yet Finance and Operations remained exposed to missed payments, incomplete notice visibility, and uncertain account status.
Replacing one processor with another would not solve the problem if the new model only captured bills and executed transactions without tracking expected bills, payment timing, account exceptions, notices, and month-end status.
The operating requirement was a control layer around the bill, not simply another invoice-processing lane.
ARDEM took over the recurring utility workflow for approximately 1,300 monthly bills and built expected-bill tracking, payment administration, independent account validation, exception follow-up, notice escalation, and month-end reporting into one operating cadence. The project manager reports no missed utility payments since ARDEM took over, and the workflow expanded across all three client companies.
