MANAGED MULTI-PROVIDER UTILITY DATA CASE STUDY

See how ARDEM centralized utility data across more than 500 providers by combining mail, electronic, and portal intake with provider-specific mapping, location and meter controls, normalized utility fields, validation, exception handling, and recurring delivery.

Overview

A sustainability provider relied on recurring utility bill data from more than 500 separate utilities to support location- and meter-level visibility. Bills arrived through mail, electronic delivery, and provider websites, while each utility used its own format, terminology, units, and field presentation.

The Challenge

Fragmented source channels increased the risk that bills could be delayed, missed, duplicated, or remain unavailable behind a utility portal. Even when a bill was received, provider-specific terminology, units, and layouts required interpretation before the data could be compared reliably.

The client needed one operating model for source tracking, document retrieval, provider and meter mapping, field normalization, validation, exception follow-through, and reporting-ready delivery.

The ARDEM Solution

ARDEM created a managed utility bill data workflow that connected centralized intake, portal retrieval, scanning, ARDEM Data Capture, provider-specific mapping, normalized utility fields, human validation, exception handling, and recurring output delivery.

The client retained control of reporting requirements and final data use while ARDEM managed recurring execution and status visibility across providers, locations, and meters.

Why ARDEM

Coordinated mail, electronic bills, and utility websites in one processing queue.

Retrieved portal bills, received electronic documents, and scanned paper bills.

Applied source-specific rules to associate each bill with the correct provider, location, or meter.

Converted demand, usage, electricity, gas, water, waste, and billing data into standardized fields.

Reviewed missing, unclear, unreadable, duplicate, or changed-format items.

Prepared reporting-ready data with status, exception, and delivery visibility.

Managed Workflow Centralizing Utility Data Across 500+ Providers Through a Managed Bill Workflow

The Results

ARDEM centralized utility bill data across more than 500 providers into one governed operating model covering mail, electronic documents, portal retrieval, provider mapping, location and meter association, field normalization, validation, exception handling, and recurring delivery. The workflow created more consistent electricity, gas, water, waste, demand, and usage records, strengthened reporting readiness at the location and meter level, and reduced the internal follow-up required to manage fragmented provider sources individually.

The 500+ Providers Were Only the Visible Problem

The Larger Risk Was Feeding Inconsistent Utility Data Into Sustainability and Operational Reporting

The challenge was not simply collecting more bills. The same underlying utility information appeared across hundreds of provider formats, labels, units, portals, and billing schedules.

Without consistent provider mapping and location or meter controls, a document could be available while the downstream record was still incomplete, mismatched, or difficult to compare.

Technology could accelerate extraction, but changed layouts, ambiguous usage fields, unreadable documents, missing bills, and portal issues still required human review and exception ownership.

ARDEM created a managed multi-provider utility data workflow connecting source tracking, document retrieval, provider and meter mapping, field normalization, human validation, exception handling, and reporting-ready delivery. The model supported recurring utility data across more than 500 providers without forcing the client to manage each source separately.

1

Source Tracking
Coordinated mail, electronic delivery, and utility websites.

2

Document Retrieval
Retrieved portal bills and prepared paper or electronic documents.

3

Provider + Meter Mapping
Associated each document with the correct provider, location, or meter.

4

Data Normalization
Mapped varied utility fields and units into a standard structure.

5

Validation + Exceptions
Reviewed unclear, missing, duplicate, unreadable, or changed-format items.

6

Reporting-Ready Delivery
Prepared consistent utility data with status and exception visibility.
